How to install Wharfly
Wharfly is being prepared for the Shopify App Store, so the install link is not live yet. Once it is, installation works like this.
- Find Wharfly in the Shopify App Store
The link will appear on this site at launch. Choose Install while signed in to your Shopify admin.
- Review and approve the permissions
Shopify shows you what Wharfly asks for. The permissions are explained below under "What permissions does Wharfly ask for?"
- Open Wharfly from your Shopify admin
Wharfly reads your products, inventory and locations, and the last 60 days of orders that Shopify shares, so demand planning has something to work with.
- Optional: explore with sample data
Use the sample data option on Home to try Wharfly with demo suppliers and orders. Adding sample data also creates demo products in your Shopify store. Remove sample data deletes the sample suppliers and orders, and the demo products it created.
- Invite your team
People appear in Team and approvals after they open the app once. New people start as requesters, and the account owner starts as an admin.
How to uninstall Wharfly
- Remove sample data first, if you added any
Open Home and choose Remove sample data. Demo products that Wharfly created in your store stay there after an uninstall unless you remove them first.
- Open your Shopify admin settings
Go to Settings, then Apps and sales channels.
- Uninstall Wharfly
Find Wharfly in the list and choose Uninstall. Once paid plans launch, uninstalling will also end any paid subscription through Shopify.
What happens next: Wharfly removes the saved sign in sessions for your store right away. About 48 hours after you uninstall, Shopify sends Wharfly a store data erasure notice, and Wharfly then deletes all the other data it holds for your store. To delete your data sooner while keeping the app, an admin can use Settings, then Delete all data, and type the store address to confirm. CSV export is available beforehand. Changes already made in your Shopify store, such as stock added when you received goods, stay as they are.
How to request data deletion
- Uninstalling starts deletion automatically
As described above, Wharfly deletes your store's data when Shopify sends the erasure notice, about 48 hours after uninstall. You do not need to do anything else.
- Want it confirmed, or have a question?
Email support@wharfly.app from an address you use with your store. Put "Data deletion request" in the subject and include your store's .myshopify.com address. We aim to reply within 24 hours on business days.
- Customers of your store
Wharfly does not store Shopify customer personal data. It reads orders only to total the units sold for each product each day. Shopify's customer data request and erasure notices are received and acknowledged, and there is nothing to return or delete.

Common questions
How do I receive stock?
Open the purchase order, go to its Shipping tab, and choose Receive on the shipment. You can also choose Receive stock from the Shipments screen. Pick the Shopify location the stock goes to, enter the quantity you accepted for each item, and confirm.
Receiving adds the accepted quantities to your live Shopify inventory at that location. This is why Wharfly asks for the write inventory permission, and it only happens when you confirm.
How do I delete my data?
A store admin can open Settings in Wharfly, choose Delete all data, and type the store address to confirm. CSV export is available beforehand. This permanently deletes everything Wharfly holds for the store while the app stays installed, and it cannot be undone.
Uninstalling Wharfly also deletes your data, about 48 hours later. You can also email support@wharfly.app and we will help.
What is on the Home screen?
Home opens with banners for purchase orders waiting for your approval and for overdue supplier payments. Below them, Needs your attention gathers what to approve, pay, receive, bill and review, with the most urgent tasks first.
Inventory and cash figures show inventory holding at landed cost, COGS for the last 30, 60 or 90 days, stock in transit, restock outstanding, downtrending stock and the stock out rate. Purchasing and payables figures show open purchase orders, payables outstanding, orders awaiting your approval, overdue payables, on time delivery and the amount invoiced in the last 30 days. Charts show weekly sales and purchasing, the purchase order pipeline and payables aging.
What permissions does Wharfly ask for?
Wharfly asks for four Shopify permissions, and uses each one for a specific job:
- Read locations: to know your fulfillment location for the shipments map.
- Read orders: to total the units sold for each product each day, which demand planning needs. Shopify shares the last 60 days of orders.
- Write inventory: to show stock on hand and incoming stock and to value your stock, and to add stock to your inventory when you receive goods against a purchase order. Shopify's write permissions include read access.
- Write products: so you can pick products and variants for purchase orders, to create a product from a purchase order line for a new item and set its price, and to remove the demo products that sample data creates.
Does Wharfly send emails to my suppliers?
No. Wharfly prepares the purchase order email and opens it in your own email app. You read it and send it yourself.
Does Wharfly track shipments live?
No. The Shipments screen shows carrier and tracking numbers that you enter, with shipped and target dates, and a static map of your suppliers' countries and your fulfillment location. It is not live carrier tracking yet, and we are working on it. For carriers it recognises, a tracking number links to that carrier's own public tracking page.
How does Wharfly decide what to reorder?
Units sold per day come from the last 30 days of sales. The run out date projects your stock day by day, adding incoming units on each purchase order's target delivery date.
The order by date is the run out date minus the supplier lead time minus a 7 day buffer. The recommended quantity covers the lead time, the buffer and 30 days of cover, minus stock on hand and incoming, and is raised to the supplier minimum order quantity if it falls below it. You can try it in the calculator.
Who can approve a purchase order?
An approver or admin, within their own approval limit, and not on an order they created. There are two exceptions: the account owner may approve their own orders while they are the only active user, and anyone who can approve may approve their own order at or under the self approval threshold, if you set one.
Why does demand planning only show recent history at first?
Shopify shares only the last 60 days of orders. Wharfly keeps older history itself, starting from when you install it, so the picture grows over time. Comparisons against earlier periods appear once there is enough history.
Are there AI features?
Not yet. AI insights are marked coming soon and are not part of the app today. Wharfly does not send your data to an AI provider.
How long does Wharfly keep my data?
While the app is installed. After you uninstall, sign in sessions are removed straight away and everything else is deleted when Shopify sends the store erasure notice, about 48 hours later.
