Free template

Purchase order template.

A plain CSV file you can open in Excel, Google Sheets or Numbers. Fill in one row per product, and the line totals and the order total work themselves out in your spreadsheet.

What each column is for.

PO number and Order date
Your own reference for the order and the day you place it.
Supplier and Ship to
Who you are buying from, and the warehouse or location the goods go to.
Payment terms and Expected delivery
For example Net 30, and the date you expect the goods.
SKU and Product
What you are buying, matching the names in your store.
Qty ordered and Unit cost
How many units, and what each one costs you from this supplier.
Line total
Filled in for you: quantity ordered times unit cost.
Notes
Anything the supplier should know.

The file holds ten product rows and an order total at the bottom. The first row is an example. Replace it or delete it. If you need more rows, copy a row down and extend the total.

The line total is a spreadsheet formula, so it calculates when you open the file in a spreadsheet app. A plain text editor will show the formula instead.

Try the line total maths

Line total = quantity ordered × unit cost. Order total = all the line totals added together.

Line total 0

Line total 0

Line total 0

Order total

0

0 units across the lines you filled in.

Good to know.

The template does not add tax, shipping or duties. Add them as extra rows if your supplier quotes them. Not sure how much to order? Try the reorder point calculator and the safety stock calculator.
