Features

From reorder to payment, in one place.

Most stores run purchasing across a spreadsheet, an email thread and a reminder to pay. Wharfly keeps it in one record that follows each order. Each screen below is a live recreation drawn with sample data, and Open full screen shows it at its real size.

Home

Open Wharfly and see what needs you first.

  • A Needs your attention list that gathers what to approve, pay, receive, bill and review in one place, with the most urgent tasks first
  • Alert banners when a purchase order needs approval or supplier payments are overdue
  • Inventory and cash figures: inventory holding at landed cost, COGS for the last 30, 60 or 90 days, stock in transit, restock outstanding, downtrending stock and stock out rate
  • Purchasing and payables figures: open purchase orders and value committed, payables outstanding, orders awaiting your approval, overdue payables, on time delivery and the amount invoiced in the last 30 days
  • Comparisons with earlier periods once there is enough history
  • Charts for weekly sales units and weekly purchasing, a purchase order pipeline by status and payables aging
  • Sample data can be added and removed

Demand planning

See what is running short and what to order, with the reasoning shown.

  • Each product gets a status: out of stock, critical, reorder, healthy, overstock or no sales
  • Stock on hand, incoming stock, last month sales and a sales trend that reads accelerating, steady or decelerating
  • Days of stock cover, with the date the product runs out
  • A recommended reorder quantity with an order by date, and a Create PO button
  • Filter by status and supplier, search by name or SKU, export to CSV and sync orders from Shopify

The app explains its calculation on the screen. Shopify shares only the last 60 days of orders, and Wharfly keeps older history itself. Try the maths in the calculator.

Sample data. Screens are illustrative.
Every product gets a status, its days of cover and a recommended reorder quantity with an order by date. Filter by status. The calculation is explained on the screen itself.

Purchase orders

Follow each order from draft to closed, with receiving and payment on the same record.

  • Statuses: draft, pending approval, approved, submitted, confirmed, fulfilling, closed and cancelled, with a card for each showing its count and value
  • Receiving progress on every order, so partial deliveries are easy to see
  • Target delivery dates with an overdue flag
  • Payment status: not billed, deposit paid, partially paid, paid or unpaid
  • Search by PO number or supplier, and export to CSV
  • Purchase order emails to suppliers Growth Wharfly prepares the message and opens it in your own email app
Sample data. Screens are illustrative.
Status cards sit across the top and filter the list. Each order shows receiving progress, its target delivery date with an overdue flag, the total and the payment status.

Shipments Growth

Know what is on the way and what is late.

  • Counts for in transit, overdue and delivered, and the average transit time
  • A route map from each supplier country to your fulfillment location
  • Carrier and tracking numbers, shipped and target dates, and a Mark delivered button

The map is a static view of known supplier origins and your fulfillment location. It is not live carrier tracking.

Suppliers

One record for each supplier, and a clear picture of where your money is committed.

  • A map sized by committed purchase value per country
  • For each supplier: category, country, payment terms, lead time, purchase value, on time rate and number of products
  • Supplier categories you can manage yourself
  • Export to CSV

Accounting Pro

Record supplier invoices against purchase orders and see what is due.

  • Overview, bills and payments, supplier ledger, journal and chart of accounts
  • Accounts payable aging by supplier
  • Invoices to pay, with overdue status
  • Recent payments, plus supplier prepayments and deposits
  • Export aging and unpaid invoices

Also in Pro: landed cost. Spread freight and duties across the items on an order so your real cost per unit is right.

Sample data. Screens are illustrative.

Team and approvals Pro

Decide who can order, who can approve and how much.

  • Three roles: requester, approver and admin
  • An approval limit for each person
  • An optional self approval threshold for small orders
  • Shopify actions run under each person's own Shopify permissions
Sample data. Screens are illustrative.
Set the self approval threshold, give each person a role and an approval limit, and see what each role can do. Shopify actions run under each person's own permissions.
